One of the more disappointing parts of sending out correspondence to donors is the returned mail. Inevitably, no matter how up to date an organization thinks its database is, some envelopes will be returned. The loss in resources (time, paper and envelopes) not to mention money can be disheartening and make an organization wonder if sending an appeal letter campaign is worth it. Although these expenses are considered when thinking about a campaign, wouldn’t it be nice to pre-screen your addresses for any changes before you mailed your letters?
Enter NCOA processing.
NCOA stands for National Change of Address and this is the database that the US Postal Service keeps when people provide changes of address. A file containing the organization’s donor names and addresses is then run through the database and the changes are compiled for you to implement back into your program.
Most organizations receive a list of corrected standardized addresses for their donors (including the zip+4 postal code). If a donor has moved and there is a change of address known, then this is provided. If someone has moved with no known forwarding address, then that is also noted. When these changes are merged back into your database, category codes help you to determine donors whose addresses either have changed or are considered undeliverable.
Did you know FundRaiser offers this service?
Of course, you are welcome to use any vendor; however, FundRaiser Software as a convenience also offers you this service and we’d be happy to discuss the costs as well as how it will work with your donors and prospects.
There are benefits to NCOA processing. The fully standardized addresses help ensure that your letters are delivered. Additionally, there may be cost savings with mailing. Your local post office can help discuss that with you.
As you look to mail holiday and end of year letters, think about how NCOA processing can help update your organization’s addresses so more of your letters get delivered.
