Tracking Responses from Your Mailings

Sending a mailing, whether it is a postcard or an appeals letter, doesn’t end the communication with the donor or prospective donor. Hopefully a reply is received with a donation, and you will want to track this to better understand the effectiveness of your campaigns. Within FundRaiser Professional there are two ways to monitor and track this information.

The Campaigns and Events module makes tracking mailings, as well as other events within a campaign, easy. Include people who receive appeals letters sent through Mass Mailings as participants and then attribute gifts received to the letter. Reports found within the module will enable you to see the response you received as well as the cost and the return on investment.

There may be times when you want to track the potential giving, either in a possibility or in a place in a sales cycles, for your donors or potential donors. Noting a donor record by the amount that they may be able to give is something that you want to do as well. Keeping notes is okay, and our note fields within FundRaiser are searchable and able to be included in groupings. When you’re aware that a donor gives in a certain range, then it becomes easier to ask the donor to match, or exceed, giving done in past years. As an organization, when you know at what levels most of your donors give, then you can begin asking for suggested donations.

FundRaiser provides powerful tools for donor levels. First, our options all you to set your own levels. We provide examples based off some commonly used levels, but you can change not just the names of the levels but also the dollar amounts. With up to nine levels, there’s plenty of flexibility to create what you need.

Dress Up Your Letters With Graphics

Bold, bright graphics catch your donor’s eye and make him or her want to read the correspondence. Putting your logo on the letter provides additional organization recognition. No matter your reason for wanting to include graphics in your letter, you want to make sure that your images enhance your message.

FundRaiser Software allows you to dress up your letter with a photograph or other special image. Your picture needs to be in a recognized image format (such as .bmp, .jpg, .png, or .gif). If your computer reads the picture as an image then there’s a good chance it’s already in a supported format.

Invoicing Sponorships

When offering sponsorships, you may wish to be able to record a commitment to sponsor and then accept payment for it later. By doing so, your organization can keep track of the numbers of sponsorships sold and project income for an event. However, there’s the problem of sending an invoice and recording later payment.

The good news is that no matter what version of FundRaiser you’re using, there are ways to record these circumstances as a later promise to pay. Instead of a “thank you” letter, the invoice could be sent. By using gift motivation codes, and possibly gift notes, you could document the gift as a sponsorship and event information.

Now that January is coming to a close and end of year letters have been printed and mailed, it’s time to think about other ways in which you can prepare for the upcoming year. Performing some general maintenance tasks will help keep your FundRaiser running smoothly and your donor management process easy.

First, think about the letters you send. With the change in the calendar, you can update the accomplishments or perhaps highlight special stories from the previous year that would resonate with your donors. Updating the letters with new codes will help staff and volunteers alike use the correct letter. And don’t forget to mark your old letters inactive to keep them from being repeated.

Going Formal With Salutations

One of the biggest quandaries you may face when you think about communicating with your donors is to be formal or informal with your greetings. In general, there is a trend to become more informal in our communications. However depending on your organization, you may wish to stay with formal salutations.

Formal salutations use titles such as Mr., Mrs., or Ms. Informal salutations are when you address the donor by his or her first name. There are times when each is acceptable, and the salutation may change based on the donor, the event, or the type of correspondence.

New Year, New Codes

For organizations with annual events or campaigns, there are many ways to track the donations that come in each year. From fund and motivation codes to more general category codes, there are a multitude of ways to make sure you know exactly how and why your donors gave to your organization.

Keeping your coding system understandable plays a big role in the effective use of your donor management software. Therefore, when it comes to your annual events, think about using one main code and append then year to it. For example, a gala would be GALA14, GALA15, and so on. This way you would know that all codes that start with “GALA” would be for your annual event. (Or whatever prefix you choose to use for your event.)

While many people are making resolutions about their health or wellness, it is also a good idea to think about how you can better utilize FundRaiser Software within your organization. There may be larger projects, such as implementing a membership or pledge program that you’re thinking about. But here are three, smaller-scale ideas to get you started.

Resolution 1: Maintain your data entry. A database is only as good as the information that’s inside it. Keeping up with your organization’s data entry allows you to utilize the robust features of FundRaiser to the fullest. With regular maintenance, keeping the data entry current isn’t a big chore and can have big payoffs for your organization.

Creative Codes

FundRaiser Software has the ability to track the non-giving aspects of your donors as well as donation information. A great way to do this is to use the category codes features. Each version (Spark, Select, and Professional) of FundRaiser offers unlimited category codes. With an ability to create codes up to eight characters in length, your organization has a nearly unlimited (there’s a limit, but it’s in the billions) to create as many codes as you require.

Are your donors on the right frequency?


After reading a recent Kim Klein blog, titled Membership vs. Monthly Giving, I wondered whether our users realized that there are multiple choices for giving increments built right into FundRaiser.  And they show up in several places, like Recurring Gift setup, Pledge payment setup, and Membership dues setup, depending on which modules you have, and which ones are active.  Everyone will have the Recurring Gift setup, so let's use that as an example, especially since a recurring gift template can be used for either pledge payments or membership payments, as well as simple frequent givers.

On the Recurring Gifts tab page, you'll see a drop-down code list for "Frequency".  This is where you can choose the normal Monthly or Quarterly or Annual payment periods we're so used to seeing.  But what if some can give more often, or their paychecks come in on a different type of schedule?  Here you'll see the following choices:

Making Great Groupings

One of the most attractive features about FundRaiser Software is its ability to hold a lot of information on your organization’s donors. By the time you utilize category codes and handle such things as Campaigns and Events, Memberships, and Pledges, you can have a lot of donor-specific information. Gathering this information into meaningful groups is the power of groupings inside of FundRaiser.

Let’s say you want to see who attended your events, but hasn’t given a donation. You can make a grouping for that. How about someone who is a monthly donor who has never attended any events? That’s right. You can make a grouping for that.

It’s the time of year when my thoughts turn toward thankfulness and gratitude, though I try to keep them tuned in that direction year round. There are many things that I think we all can be thankful for, but I wanted to take a few moments this week and share with you the five things I’m thankful for in FundRaiser Software.

1) An intuitive interface. FundRaiser holds a lot of data on your donors and organization, which is a good thing. It can also get overwhelming, too. The intuitive way that you can move through FundRaiser allows you to access, sort, and filter, all that data so you can make the best contacts you can with your donors.

Backup Basics

Backup Basics

There’s nothing more reassuring to a computer user than to have a good backup of data. This is no less true when it comes to your FundRaiser data. As an organization, there’s a good bet that you keep a large amount of information about your donors. To know that you can restore it in the sad event of a computer failure, is good news indeed.

FundRaiser makes it easy to do backups, by putting the command in an easy to locate place. Under the FILE menu in FundRaiser, choose CREATE A BACKUP. To complete your backup hit the “backup” button. The process will run and once it’s finished, you can choose Exit. Your backup has completed. However, you may have questions about backups and the process. One of the most common is: where do you want to place your backup? FundRaiser conveniently places backups in a default location. (For clients using FundRaiser Hosted, always accept the default location. To receive a copy of the backup, give our technical support team a call and we’ll gladly send you a copy of the files.) Since the restore screen automatically goes to the location of the last backup, you don’t have to worry about where you saved your backup. It is a good idea to backup before doing a major operation such as an import or export. Regular backups can also keep data safe in the event of a computer failure. Set a schedule within your organization and stick to it. It doesn’t take a lot of time to do a backup of your FundRaiser data. Keeping your backups current will save you, and your organization, a lot of time and trouble. Plus, the peace of mind is priceless.

Getting To Know Fundraiser Software

When you set out to learn any new software, it’s like learning to dance where the steps seem familiar, and yet new at the same time. As I begin my second week at FundRaiser Software, I find that the dance becomes more familiar and I can really appreciate the nuances of the program.

One of the things that first impressed me about FundRaiser’s software program was its versatility. My background in nonprofits is with small organizations—really small. For a while back in the 90’s, I worked with our local cage bird club to do rescue for aviary birds like finches and canaries. Eventually we educated those in the area about the smaller birds and the local club was able to pick up the work of finding new homes for any birds in need. It was a me-myself-and-I operation, with help from a few friends. Even for a nonprofit as small as we were back then, I think FundRaiser’s membership function would have been very helpful. That would have been so much easier than the Excel spreadsheets I was using to track renewals and to print labels for the newsletter mailings.
